KeepNotes is simple by design — but under the hood, there are powerful features that can significantly boost your workflow, privacy, and productivity. Many users discover the basic writing and sharing capabilities and stop there, not realizing that there is a whole toolkit of advanced features waiting to be explored. Let us highlight the ones you might have missed and show you how to use them effectively.

Version History: Your Safety Net

Every time you save a note, KeepNotes automatically creates a snapshot of that version. Up to twenty versions are stored for each note, giving you a comprehensive history of changes over time. This feature is invaluable in several scenarios.

Imagine you are editing a long document and you accidentally delete three paragraphs that took you an hour to write. Without version history, that content is gone forever. With KeepNotes, you simply open the version history panel, find the version that contains your lost text, and restore it with one click. The current version is not overwritten — instead, a new version is created from the restored content, so you never lose any state.

Version history is also useful for tracking the evolution of a document. If you are working on a proposal or plan that changes over weeks, you can look back at earlier versions to understand how your thinking developed and what decisions were made along the way.

Custom Note URLs

Every note gets a random four-character slug by default, like /Ab3X. But did you know you can change this to anything you want? Click the link icon in the toolbar and type in a custom slug like /meeting-notes, /shopping-list, or /project-alpha.

Custom URLs are particularly useful when you need to share a note verbally or include it in printed materials. Saying "go to keepnotes.online/team-standup" is much easier than trying to dictate a random four-character code. The URL updates instantly with no downtime, and any bookmarks to the old URL will need to be updated to the new one.

File Attachments

Notes are not limited to text. KeepNotes supports file attachments, allowing you to upload up to ten files per note. Each file can be up to 20 MB in size, and supported formats include images (JPG, PNG, GIF, WebP), documents (PDF, DOC, DOCX, XLS), and archives (ZIP, RAR).

The paperclip icon in the toolbar shows a badge indicating the number of files attached to the current note. You can upload files by clicking the icon and selecting files from your device, or by dragging and dropping files directly onto the note area. Each uploaded file gets a shareable download link that you can copy to the clipboard or share directly.

This feature transforms simple notes into rich multimedia documents. Attach a PDF reference to your meeting notes, include screenshots with your bug report, or add photos to your travel planning note. All attachments are stored securely on the server and are only accessible through the note's URL.

Password Protection with Hints

While many users know about password protection, fewer are aware of the hint feature. When you set a password on a note, you can also include an optional hint that is displayed to anyone who encounters the password prompt. This is incredibly useful for notes that you do not access frequently — it jogs your memory without compromising the password itself.

Good hints are specific enough to remind you but vague enough to be meaningless to others. For example, "summer 2023" might remind you of the trip where you created the password, but it would not help a stranger guess the actual password.

Multiple Export Options

Dark Mode

Click the moon icon in the toolbar to toggle between light and dark themes. The dark mode is not just a color inversion — it is a carefully designed theme with appropriate contrast ratios, comfortable text colors, and distinct visual hierarchy. Dark mode reduces eye strain during evening writing sessions and can help conserve battery life on devices with OLED displays.

Your theme preference is saved in your browser's local storage, so it persists across sessions. You do not need to toggle it every time you open KeepNotes — once set, it stays that way until you change it.

AI Assistant

The built-in AI assistant can help you work with your notes more efficiently. Access it from the toolbar to use features like note summarization, which condenses long notes into key bullet points, and grammar checking, which reviews your writing for errors and suggests improvements. The AI works directly on your current note content, so there is no need to copy and paste text into a separate tool.

The AI assistant is powered by modern language models and handles a variety of tasks well, from proofreading emails to generating outlines to explaining complex topics. It is an optional feature that only activates when you explicitly request it, so it never interferes with your writing flow.

Installable as an App

KeepNotes is a Progressive Web App, which means it can be installed on Android, iOS, Windows, Mac, and Linux devices. Once installed, it launches in its own window, appears in your app switcher, and can be pinned to your dock or taskbar. The installed version loads faster, works offline, and provides a more native-feeling experience than using the browser.

Installation takes less than ten seconds on any platform and does not require going through an app store. You get all the benefits of a native app with none of the hassle.
